Business process automation services
wired into your stack.

Every team has work that should not need a human. The same form re-keyed into three systems. An approval stuck in an inbox. A report someone rebuilds every Monday. Business process automation services fix that, once they are wired into the systems you run. We automate the repeatable work end to end. The integrations, the error handling, the audit trail that earns your trust. For operations-heavy teams, SaaS, and expert-led businesses.

Scoped estimate in 3 to 5 days. No obligation, NDA on request.

They were absolutely phenomenal. The team put in a lot of work to break down what was required of the project and gave an excellent presentation on the process. I highly recommend them and will be working with them again in the future.

Who you work with

We automate our own work before we sell it

HighCraft is a senior team that pairs full-stack engineering with applied AI for healthcare, SaaS, and expert-led businesses. We have earned Top Rated and a 100 percent Job Success Score on Upwork, one five-star delivery at a time.

We have built the unglamorous automation production runs on. On a healthcare platform, an invoice state machine that tracks every state a payment reaches, from sent to partially paid to disputed. On a charter-booking platform, a sync that pulls twenty-three kinds of record from three upstream systems and merges the duplicates automatically. You work with the engineers who built those, not a sales layer in front of them.

Senior

engineers, no handoffs

The fear with automation is the brittle kind. A bot screen-scrapes a button, then breaks the morning someone moves it. We build on your systems’ APIs and a durable workflow engine instead. And we model the process first, to the BPMN notation. So the automation matches how the work really flows. It fails loudly when an input changes, instead of quietly doing the wrong thing.

What we actually build

What real business process automation gets right

The parts a recorded macro skips and production work cannot.

The process, modeled first

We map how the work actually moves first. The inputs, the approvals, the exceptions nobody wrote down. Most automation fails the same way. It encodes the happy path and ignores the day the input arrives malformed. The exceptions are the work.

Wired into your systems over APIs

Automation that talks to your CRM, ERP, billing, and email through their APIs. Not a brittle bot clicking a screen. When a vendor moves a button, an API integration keeps running. The screen-scraping kind breaks before lunch.

AI where the rules run out

Most steps are deterministic. They should stay that way. For the messy ones, reading a document, classifying a request, drafting a reply, we add an LLM. A human checks it where a wrong call is expensive. The model handles judgment, not the work a rule already does.

Audit trail and error handling

Every run logged. Retried on a transient failure. Surfaced to a human when it cannot proceed. An automation you cannot see into is one you cannot trust. The logging is what lets you stop checking it by hand.

When a tool already does it

If an off-the-shelf tool like Zapier already covers your workflow, use it. We will say so before quoting a build. Custom automation earns its cost elsewhere. When the process spans systems that do not talk. When it carries real exceptions. When it touches data you cannot hand to a third party. We automate the work that is yours, not the work a template already handles.

AI Prototype Sprint

Validate the workflow before you fund the platform.

A two-week sprint that turns a complex workflow into a working prototype, architecture direction, and a build estimate you can act on.

  • Working prototype
  • Workflow map
  • Architecture recommendation
  • AI opportunity and risk assessment
  • Delivery roadmap
  • Fixed or phased build estimate

Two weeks, one fixed scope. You own everything we build, whether or not you continue.

Week 1

Discover the workflow, build the spine

Week 2

AI where it pays back, then prototype + estimate

Engagement models

Four ways to engage, and a low-risk way to start

We fit the model to the project and the risk, not to our invoice. Most clients start with a two-week discovery sprint that turns the idea into a working prototype and a real estimate, then move into whichever model fits the build.

01

Time and materials

You pay for the hours you use, billed weekly or monthly. The right call when scope is still moving and you want to steer as you go.

02

Dedicated team

A senior team embedded with yours and billed monthly, scaling up or down as the roadmap changes. Built for ongoing work, not a one-off.

03

Fixed price

Agreed scope, agreed price, agreed date. Works when the requirements are already clear and you want certainty before you sign.

04

Fixed milestones

Phased delivery, paid one milestone at a time. A way to take on a larger build and de-risk it stage by stage.

What clients say

Clients trust us with messy, real-world software

From regulated healthcare workflows to payment-heavy platforms and internal business systems, the common thread is delivery that survives production.

Alex and his team built the core of our Healthcare SaaS. Their grasp of HIPAA and GDPR was crucial for our telemedicine features, and they added AI into the EMR so providers could make better data-driven calls. They know the Microsoft stack and held to WCAG 2.1 throughout. For a healthcare product that needs regulatory care and real engineering, HighCraft.io is the partner you want.

What we do

Three ways we turn complex workflows into working software

Start with a prototype, add AI where it creates leverage, or build the full production platform.

Working prototypes

A working prototype built around the real edge cases, so you can validate scope before funding a full build. The cheapest way to find the edge case nobody mentioned.

AI-enabled features

AI inside the product you already run: intake, search, summarization, classification, recommendations, or workflow assistance, with evaluation and guardrails. Built so a real user opens it twice.

Production platforms

Custom platforms built for real users: integrations, permissions, billing, audit trails, and maintenance. HIPAA-aware where it has to be.

Free vendor-risk check

Before you build, check the risk first.

Answer a few plain-English questions and get a vendor-risk read on ownership, proof of work, data exposure, and handover gaps before you fund the build.

  • Takes about 3 minutes
  • Built for vendor decisions

How we build

How we build AI workflows that stay controllable

Agentic does not have to mean opaque. We put the controls where the risk is: permissions, approvals, and audit around every AI-assisted step.

1

Frontend

The product your users and staff actually work in.

2

API

Typed contracts and validation at the boundary.

3

Workflow engine

The deterministic spine: states, rules, and handoffs.

4

Agentic workflow layer

Inspects context, suggests next steps, and triggers tools, with human approval where it matters.

5

AI / LLM services

Models behind evaluation and fallback logic, not raw and unchecked output.

6

Integrations

EMR, Stripe, CRM, scheduling, and internal APIs.

7

Audit, monitoring, permissions

Every AI-assisted step logged, observable, and role-gated.

Controls, not black boxes

  • Human approval for sensitive actions
  • Tool calls scoped by permissions
  • Audit logs for every AI-assisted step
  • Evaluation and fallback logic, not raw model output
  • Role-based access throughout
  • Observability in production
  • Integration with EMR, Stripe, CRM, scheduling, or internal APIs

FAQ

Hiring a business process automation team

What buyers ask before they start.

What is business process automation?

It is using software to run a repeatable business process with little or no manual work. Moving data between systems. Routing approvals. Generating documents. Reconciling records. Good automation does not just speed up the happy path. It handles the exceptions, and tells a human when something needs a real decision.

How is this different from RPA tools like UiPath?

RPA bots often automate by mimicking clicks on a screen. That works until the screen changes. We prefer to integrate through APIs and a durable workflow engine. It survives interface changes and handles failure cleanly. We will use an RPA tool where a system has no API and screen automation is the only door. But we treat it as the last option, not the first.

Which processes are worth automating first?

The high-volume, rule-heavy, low-judgment ones. Data entry across systems. Invoicing and reconciliation. Onboarding steps. Report generation. Status syncing. Start where your team loses hours every week to work a machine could do exactly. The flashy AI use case is rarely the one with the fastest payback.

Can you add AI to the automation, or is it just rules?

Both, and the split matters. Deterministic steps stay rules. They are predictable and cheap. For the messy parts, reading a document, classifying a request, drafting text, we add an LLM. A human checks it where a wrong answer is costly. The model does judgment, not the work a rule already does well.

How much does business process automation cost?

Send the process and the systems it touches. We reply with a scoped estimate, usually within 3 to 5 business days. Cost tracks the number of integrations, how messy the exceptions are, and how much of the work needs a model versus a rule. You can work hourly, fixed price, or as a dedicated team.

What happens when an automated step fails?

It fails safely. We build retries for transient errors, clear logging of every run, and an escalation path that hands the case to a human instead of guessing. An automation that hides its failures is worse than none. You stop watching it. We make the failures visible by design.

When are you not the right fit?

If an off-the-shelf tool like Zapier or a native integration already covers your workflow, use it. We will tell you so instead of quoting a build. We are also the wrong call for a one-off script you will run twice. We earn our cost when the process spans systems that do not talk, carries real exceptions, and has to run reliably for years.

Send the shape of the problem, even if the requirements are still blurry. We reply with a scoped estimate, usually within 3 to 5 business days. No obligation, NDA on request.

  • A senior engineer reads every brief, not a sales rep.
  • If an off-the-shelf tool fits better, we will tell you.
  • NDA on request before you share anything sensitive.
